Project Coordinator

The Maritimes Energy Association is an independent, not-for-profit organization representing businesses that provide goods and services to the energy industry in eastern Canada - offshore & onshore, renewable & non-renewable, domestic and export markets. The Association's membership primarily consists of local businesses that are part of the supply chain and employ thousands of people, injecting millions of dollars into our regional economy. They play a key role in local, regional and international initiatives by providing information/news, networking opportunities, advocacy, organizing events, conferences and trade shows and also offer member organizations an opportunity to participate in trade missions outside of Eastern Canada, thus introducing our local organizations to a global market.

The Project Coordinator position reports to the CEO and is a new part-time term position. We are seeking a professional with a strong knowledge managing a project which would transition the organization current underpinning systems while introducing several new technical and business requirements. This opportunity is a part-time term position (average 20-25 hours per week) for up to 18 months.

The Role:

• Lead the finalization of project requirements;
• Prepare the drafting and issuance of the various project components including: preliminary schedules, budgets, cash flows, RFP's and/or tenders (if required), reporting etc.;
• Chair site meetings and distribute minutes to the steering committee;
• Effectively and accurately communicate relevant project information to the Steering Committee;
• Track the progress and quality of work being performed by design disciplines/trades where required;
• Use project scheduling and control tools to monitor project plans, work hours, budgets and expenditures;
• Ensure needs are met in a timely and cost effective manner;
• Prepare for Approval and subsequently issue contracts, letters of intent, purchase orders, etc.;
• Maintain contract execution tracking log;
• Lead in the review of contractor quotations to ensure that only fair and reasonable pricing is recommended for approval;
• Track and manage contemplated change notices and change orders in a system;
• Prepare substantial completion certificates and ensure all required projects close out documents are obtained;
• Communicate ideas for improving the Association's processes with a positive and constructive attitude.

The Ideal Candidate:

• Demonstrated project management experience, including proficiency with Microsoft Word, Excel and Power Point;
• Strong written and oral English communication and facilitation skills are essential;
• Information technology background would be beneficial;
• Energy supply chain and data collection background would be beneficial;
• Independent thinker, highly organized, self-starter;
• Strong team player;
• Occasional travel may be required.

Salary: Up to $65,000 per year
